In short: we collect only what we need to give you technical files, answer your enquiries and supply our products. We never sell your details. We send you marketing only if you have asked us to, and you can change your mind at any time.
01 Who we are
This website is run by diVa lighting limited, a company registered in England and Wales (company number 3485788), whose registered office is diVa house, Guildford Road, Bucks Green, West Sussex, RH12 3JJ. We are the controller of the personal information described in this notice.
02 What we collect
When you register for specifier access: your name, company, job role and email address, whether you would like to hear from us about our products (and when you told us), and, if you choose to give them, your project name and project stage.
When you download files: which files you download and when, linked to your account if you are signed in. Photometric and BIM files are available to registered specifiers only, so these downloads are always linked to an account.
When you build a luminaire schedule: the project names and locations you enter, the luminaires and part codes you add, any room, area and notes against them, and the message you send if you submit a schedule to us for quotation. Schedules are linked to your specifier account.
When you contact us: your name, company, email address and phone number, the type of enquiry, the product or project it concerns, your message, and any drawings you upload.
When you or your company buy from us: the business contact, delivery and invoicing details we need to quote, supply, deliver and support our products.
When you visit the website: our website host keeps standard server logs (such as IP address, browser type and the pages requested) to run and protect the site.
03 How we use it
- To give you access to technical files, including emailing you a sign-in link (or checking the password you choose) and keeping you signed in. This is necessary to provide the service you have asked for.
- To understand which technical files are used, and on which projects, so we can support specifiers and improve our products and data. This is in our legitimate interests.
- To reply to enquiries, prepare lighting designs and quotations, including quotations for luminaire schedules you submit. This is at your request, before any contract, and in our legitimate interests.
- To keep your luminaire schedules so you can return to them, download them and send them to us. This is necessary to provide the service you have asked for.
- To supply products and meet our legal obligations, such as keeping accounting records. This is necessary for our contract with you or your company, and to comply with the law.
- To keep the website secure and prevent misuse. This is in our legitimate interests.
We do not use your information for automated decision-making or profiling.
04 Marketing
We send you news about our products and services only if you have ticked the box to say you would like to hear from us. You can withdraw that consent at any time, using the unsubscribe link where an email includes one, or by contacting us at enquiries@divalighting.com.
06 How long we keep it
- Specifier accounts and download records: while your account is active, and deleted 3 years after your last sign-in, or sooner if you ask us.
- Enquiries and uploaded drawings: 2 years from your last contact, unless they become part of an order.
- Luminaire schedules: schedules you are still building are kept with your specifier account and deleted with it; you can delete any of them yourself at any time. Schedules you submit for quotation are kept as enquiries: 2 years from your last contact, unless they become part of an order.
- Order and accounting records: 6 years after the end of the financial year they relate to, as required by law.
08 Security
Photometric files, BIM files and drawings you upload are kept in a private area that cannot be reached directly from the web. Sign-in links are single-use and expire after 60 minutes. If you choose a password, it is stored only as a secure one-way hash, never in readable form, and repeated failed attempts are blocked. Access to the information we hold is limited to the people who need it to do their job.
09 Your rights
You have the right to ask us for a copy of your personal information, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. You always have the right to object to direct marketing.
